Privacy Policy

1. Who we are
This Privacy Policy explains how Eastside Traveling League, a Washington nonprofit corporation (501(c)(3)) doing business as "Eastside Travel League" ("ETL," "we," "us," or "our"), collects, uses, and shares information when you use our website at eastsidetravelleague.org, our web application, and our mobile applications (together, the "Services").
We are a youth basketball league. We provide the Services so that our member programs, directors, coaches, team contacts, and families can register teams, submit availability, view schedules and standings, manage rosters and league logistics, pay league fees, and receive league communications.
We do not sell your personal information, we do not use it for advertising, and we do not use third-party analytics or ad-tracking.
2. Information we collect
Information you or your program provide. Name, email address, phone number, program/team affiliation and role (for example, director, coach, or team contact), and information you submit through forms (such as letters of intent, gym availability, coach and staff details, and fee information).
Player/roster information. To operate the league, our member programs submit information about participating youth players, which may include a player's name, grade, gender, team/program, school name, and date of birth. This information is collected and managed through ETL's eligibility system. See Section 8 (Children's Privacy).
Payment information. If you pay league fees online, your payment is processed by Stripe, Inc. We do not collect or store full payment card numbers; Stripe handles card data under its own terms and privacy policy. We receive limited confirmation details (such as a payment reference, amount, and status) to record your fee payment.
Automatically collected information. We collect limited technical information such as IP address, device and browser type, and usage and log data needed to operate, secure, and improve the Services. We use essential cookies to keep you signed in and to keep the Services working. We use Cloudflare Turnstile to protect our forms from bots and abuse, which processes limited technical signals (such as IP address and interaction data) for that purpose. We do not use analytics or advertising trackers.
Authentication. We use a passwordless "magic link" sign-in: when you sign in, we email you a one-time link. We do not store passwords for these accounts.
3. How we use information
We use information to: create and manage accounts and roles; operate core league functions (registration and letters of intent, scheduling, standings, rosters, availability, venues, and fees); process fee payments; communicate with you about the league, your team, schedules, and account or service notices; provide support; keep the Services secure and prevent misuse; and comply with legal obligations. We use information only for these league-operations purposes — not for advertising or sale.
4. How we share information
We share information only as needed to run the league:
- Within the league. Information is visible to the appropriate league and program personnel (for example, a program's director or administrator, schedulers, and relevant team contacts). Schedules and standings may be shown publicly on the Services.
- Service providers ("processors"). We use trusted vendors that process information only to
provide services to us and are bound to protect it:
- Supabase, Inc. — database, authentication, and file storage hosting;
- Vercel Inc. — application and website hosting;
- Resend — delivery of transactional and sign-in ("magic link") emails;
- Cloudflare, Inc. — bot and abuse protection (Turnstile);
- Stripe, Inc. — online fee payment processing.
- Legal and safety. We may disclose information if required by law, to enforce our Terms, or to protect the rights, safety, or property of ETL, our members, or others.
- Organizational changes. If ETL reorganizes or transfers operations, information may be transferred as part of that change, consistent with this Policy.
We do not sell personal information, and we do not share it for advertising.
5. Data retention
We keep information only as long as reasonably necessary for the purposes described here or as required by law, and then delete or de-identify it. We apply data-minimization and shorter retention to children's information (see Section 8).
6. Security
We use reasonable administrative, technical, and physical safeguards designed to protect information, including encryption in transit, access controls, and restricted role-based access. Card payments are handled by Stripe. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.
7. Your choices and rights
You may access or update your account information, or ask us to correct or delete it, by contacting us (Section 10). Because ETL is a league, some information (such as team assignments, schedules, or fee records) must be retained while you participate or as required by law.
Depending on where you live, you may have rights under state privacy laws — for example, to access, correct, delete, or obtain a copy of your personal information, and to not be discriminated against for exercising these rights. We do not sell personal information or use it for targeted advertising. To exercise any right, contact us (Section 10); we will respond as required by applicable law.
8. Children's privacy
ETL serves youth players (grades 4–8), so protecting children's information is central to how we operate.
- Accounts are for adults. The Services are used by adults acting on behalf of a program or team (directors, coaches, team contacts, and parents or guardians). Children do not create their own accounts.
- Player information and eligibility. Player and roster information is provided by member programs and by parents or guardians, and is collected and managed through ETL's eligibility system, which handles player verification and parental involvement. It is not collected directly from children through the general Services.
- Purpose-limited and minimized. We collect the minimum player information needed to operate the league and verify eligibility, use it only for those purposes, never for advertising, and never sell it or share it for advertising or unrelated commercial purposes.
- Parental rights. A parent or guardian may review the personal information we have about their child, ask us to correct or delete it, and refuse to permit further use or collection, by contacting us (Section 10). We will honor these requests consistent with our obligations to operate the league.
- Retention. We retain children's information only as long as needed for league operations and eligibility, then delete or de-identify it.
9. Third-party links
The Services may link to third-party sites or services (for example, Stripe's payment pages or a program's own website). Their privacy practices are governed by their own policies, not this one.
10. Changes and contact
Changes. We may update this Policy from time to time. We will post the updated version with a new "Last updated" date and, for material changes, provide additional notice where appropriate.
